Excel practice for financial analysts: explain variance

A reporting number needs a convention and a denominator. Practise explaining both before you build a larger financial model.

Practice actual versus target

What to be able to hand over

Finance reporting turns assumptions and transactions into a decision. The important part is being able to explain why a number moved and which assumption would change the recommendation.

A budget-versus-actual review
Use a stated sign convention, separate departmental exceptions and explain the drivers behind a variance.
An assumption-led comparison
Put volumes, rates and dates in labelled inputs so another person can test a different scenario.
A short decision note
Connect the calculation to a recommendation, its limitations and the information still needed.

Build beyond this course

Financial statement analysis, valuation, forecasting and domain knowledge extend beyond this course. Financial and investment analyst jobs typically require a bachelor’s degree; an Excel course alone does not establish the qualifications for the role.

Occupational context: BLS: Financial and investment analysts. The handover examples above are our practice suggestions.

Work to practise

  • Separate overspending from underspending.
  • Calculate a unit price weighted by actual quantities.
  • Keep assumptions in referenced cells.

All examples use original synthetic data. Source row numbers and column letters are shown so you can reproduce the formulas.

Read a three-department expense report

Calculate actual minus plan for each department, then find the price paid per unit across both purchases.

USD; quantities are units, not monetary weights.

A mistake to catch

The simple mean of 20 and 12 is USD 16. It gives a small purchase the same influence as a purchase three times its size.

Correction. Multiply each quantity by its unit price, add the costs, and divide by total units. Read departmental exceptions even when the net variance is zero.

Read the result

Total spending matches total plan, while Research and Facilities exceed their own budgets. The purchased mix costs USD 14 per unit.

This is a specific investment-analysis occupation, used for context. Corporate FP&A, finance assistants and financial risk specialists have different responsibilities and pay.

These BLS figures cover employees across work arrangements. They are not a remote-only salary, an entry-level offer or an earnings outcome from this course. Median means half earn more and half earn less.

Read a remote posting carefully

Read a remote finance posting for its reporting calendar, time-zone overlap and secure data requirements. Check whether the quoted compensation is base pay, bonus-eligible pay or total compensation.

Check the allowed country or state, working hours, employment or contractor status, and the currency and components of the offer. A remote role can still have location restrictions and locally set pay.

One employer example: GitLab’s candidate handbook says to check each listing’s hiring country. Its current compensation policy uses local market data and local-currency ranges. This is an illustration of employer policy, not a claim about every remote job.
